Responsibilities

FLSA Status:                      Non Exempt

 

Purpose: Provide professional customer service by obtaining and verifying demographic, insurance information, and exam to be scheduled for pre-registration, financial clearance, and check in processes. Responsible for providing a working knowledge and understanding of insurance requirements and provide courteous and prompt telephone reception.

 

Essential Responsibilities:

 

  1. Verify patient’s insurance eligibility, coverage, authorizations for scheduling exams utilizing HQ scheduling protocol and following designed workflows of the current systems for scheduling department. Verifies that procedures ordered via the phone match provider written orders when available.
  2. Advises the patient, physician, or staff of proper test or procedure preparation requirements, accurate date/time/site of scheduled appointment and correct arrival time for registration.
  3. Schedules appointments routinely under correct department, time slot description and determines the correct length of time needed for the exam.
  4. Responsible for all follow up with patients, offices and co-workers for scripts, authorizations and paperwork.
  5. Operate a variety of standard office machines, including a personal computer and a variety of computer software, phone, fax and photocopy machine. 
  6. Understanding of exams that may require prior authorization. Obtains available authorization number and additional pertinent documentation to support the financial clearance process.
  7. Responsible for inputting patient information into the current system quickly and accurately utilizing the HQ protocol.
  8. Interacts professionally with Physician, patients, outside offices and co-workers.

Qualifications

Education and Experience Requirements:

  • High school diploma or equivalent.
  • Minimum of two (2) years medical office experience.
  • Prior experience with physician scheduling and familiar with insurance company guidelines.
  • PREFER: One year of college or specialized post-high school training in medical terminology and medical office procedures.

 

Minimum Knowledge, Skills and Abilities Requirements:

  • Ability to handle a high volume of calls on a daily basis.
  • Ability to work efficiently in a high demand, team oriented and fast paced environment.
  • Ability to handle diverse patients and utilize exceptional listening skills when working under pressure.
  • High degree of self-motivation and the ability to work independently without supervision.
  • Must possess strong attention to detail and time management skills to participate in multiple tasks and projects simultaneously.
